What does PayerBeacon do?
PayerBeacon compares every payment line in a remittance with your approved contracted rate, shows the source row behind each comparison, and organizes the evidence for payer follow-up.
It depends. If you already have a fee schedule and an ERA/835, PayerBeacon is built to compare them line by line and keep the evidence. If you only need a place to store contracts, a document folder is enough. If you need someone to file appeals for you, use a billing service: PayerBeacon organizes the evidence but does not act as your billing company.

What PayerBeacon does
- Fee schedule review: Turn supported payer CSV, XLSX, and text-PDF rate files into service-rate entries, each with its source row and the exact value read from it. Approve the ones you trust in bulk, or one at a time.
- Payment reconciliation: Check each ERA/835, EOB, and supported payment report line against your approved contracted rates, and flag the lines that need a human decision.
- Denial and appeal work: Organize CARC/RARC denial categories, appeal templates you manage (optionally scoped to one payer), evidence, follow-up, and recorded outcomes.
- Contract intelligence: Keep contract versions, rate changes, billing rules, renewals, and negotiation packets in one place, plus benchmarks drawn only from sources you register and approve.
- Evidence packets: Keep source details, the calculation, notes, evidence packets, submission status, and recovery outcomes together.
- Team roles and audit log: Give each person the access their work needs and keep a record of who reviewed, approved, changed, or exported what.
How the workflow runs
- Bring the files you already use: Start with a payer fee schedule and an ERA/835, EOB, CSV, XLSX, or clearinghouse payment report.
- Check the rates and evidence: PayerBeacon extracts rate rows with source details and review signals so you can approve, correct, or flag them.
- Compare paid with contracted: Payment lines are matched against approved contract rates and sorted into exact, probable, ambiguous, or unmatched states.
- Build the packet to send: Package the difference, the rate, the payment line, and your notes into a packet you submit through the payer channel you use, and record the outcome.
Frequently asked questions
What does PayerBeacon do?
PayerBeacon compares what a payer agreed to pay with what the payer actually paid. You keep fee schedules, payment reports, evidence, review decisions, and recovery follow-up together in one place.
Who is PayerBeacon for?
PayerBeacon is for independent medical practices, practice administrators, and revenue-cycle leads who need one clear place to review payer payment differences and act on them.
Does PayerBeacon replace my billing system?
No. PayerBeacon is a revenue-integrity and recovery product that works with the files and connections you already use. Your practice remains responsible for billing, coding, compliance, claim, and appeal decisions.
What is a payer fee schedule?
A fee schedule is the rate list or contracted price table a payer provides for covered services. PayerBeacon turns supported tables into service-rate entries that you review, approve, correct, or flag before payment comparison.
Which files can I upload?
You can upload CSV, XLSX, and text-based PDF fee schedules; ANSI ERA/835 and EDI/X12 payment reports; CSV and XLSX payment exports; text-based EOB documents; and supported clearinghouse files. Tabular, text-readable files parse automatically. A scanned or image-only file needs manual entry or review.
Does the fee schedule have to give a dollar amount per code?
Yes. PayerBeacon compares a payment against a contracted dollar amount, so the rate file must contain dollars per code. A percentage of billed charges is priced when the claim carries the charge. Case rates and per-diem terms are flagged for review and then priced at claim level once you confirm the amount and, for per diem, the length-of-stay method. A DRG needs a grouper the product does not include, and a percentage of Medicare is not supported yet: PayerBeacon holds no Medicare fee schedule, so it cannot derive the contracted amount. Enter the contracted dollar amount for the codes you care about, or send the payer rate file that already contains dollars.
